Received the Wrong Item From an Online Order? Follow These Steps to Request a Refund or Replacement
Online shopping has made buying everything from clothes and shoes to smartphones and home appliances much easier. But occasionally, opening a delivered package can bring an unpleasant surprise—you may receive the wrong product, a damaged item, a used-looking product or something completely different from what you ordered.
When this happens, acting quickly and preserving evidence can make the complaint process much smoother.
Consumers should first check the return or replacement conditions applicable to the particular order and report the problem through the e-commerce platform's official complaint channel. If the issue is not resolved, additional consumer grievance mechanisms are available in India.
Here is a practical guide to handling a wrong or damaged online order.
Received the Wrong Product? Document the Problem ImmediatelyIf the parcel contains something different from what you ordered, avoid throwing away the outer packaging, invoice, product box, labels or accessories.
Take clear photographs showing the delivered product as well as the package and shipping label. Where possible, preserve the tracking details and order information.
An unboxing video can also provide useful supporting evidence, especially for expensive electronics or other high-value purchases. A continuous video showing the sealed package, shipping label and contents can help establish what was inside when the parcel was opened.
However, consumers should not assume that making an unboxing video is a universal legal requirement for receiving a refund. Evidence requirements can vary depending on the platform, seller, product and nature of the dispute.
Check the Return or Replacement WindowThe next step is to check the return policy applicable to your particular order.
Return and replacement conditions can vary considerably. One product may be returnable for a specified number of days, while another may qualify only for replacement in particular circumstances.
Some product categories can also have different conditions for defective, damaged, missing or incorrectly delivered items.
Open the shopping platform's app or website, go to your order history and select the affected purchase.
Look for options such as Return
Choose the reason that most accurately describes the problem—for example, "wrong item received," "damaged product," "missing item" or another appropriate option.
Upload Clear Photos When RequestedThe platform or seller may ask for photographs before approving a return or replacement.
Make sure the images clearly show the product, damage or discrepancy you are reporting. If relevant, include the product label, model number, serial number, package label and accessories.
Do not alter or edit photographs in a way that could create confusion about the product's actual condition.
Keep the packaging intact until the dispute is resolved because the courier may require the product to be returned with its original box, accessories or labels.
Contact Customer Support If the Return Option Is MissingSometimes the automated return facility may not appear in the app, particularly for certain products or after a particular stage of the order.
In that situation, contact the platform through its official customer-support channel.
Provide the order number and clearly explain what happened. If you ordered one product but received another, state exactly what was ordered and what was delivered.
Attach photographs, video or other evidence if the support team requests it.
Most importantly, preserve the complaint or ticket number. Screenshots of chats or emails can also be useful if you later need to show that the problem was reported within the applicable period.
What Happens After a Return Is Approved? The process depends on the e-commerce platform, seller and type of product.
In many cases, a courier pickup may be scheduled after the return request is approved. In other situations, a customer may receive different return instructions.
The returned product can also be subject to verification.
Do not assume that the refund will always begin immediately when a courier collects the parcel. Some platforms process refunds after pickup, while others may first verify that the returned item satisfies the applicable conditions.
Keep the pickup receipt, acknowledgement, SMS or tracking details until the money has been credited.
How Long Does an Online Shopping Refund Take? There is no single refund timeline that applies to every e-commerce transaction.
The processing period can depend on the platform, seller, payment method, bank and reason for the return.
For example, a refund to a card or bank account may involve both the merchant's processing period and additional processing by the payment provider or bank.
Check the refund status in your order details and keep any reference number provided.
If the platform shows the refund as completed but the amount has not reached your account after the stated processing period, contact both the platform and, where appropriate, your payment provider with the refund reference information.
What If the Seller Rejects Your Complaint?A rejected return request does not necessarily mean that you have no further options.
First, ask the platform to explain why the request was rejected. Provide additional supporting information if necessary and use its internal escalation or grievance mechanism.
Preserve your invoice, order confirmation, payment record, photographs, videos, return-request details and customer-support correspondence.
These records can become important if you decide to escalate the consumer dispute.
National Consumer Helpline Can Be Used for Unresolved IssuesIf the e-commerce platform or seller does not satisfactorily resolve a genuine consumer grievance, you can consider approaching the Government of India's National Consumer Helpline.
Consumers can lodge grievances through the official National Consumer Helpline channels and track their complaints.
The helpline can facilitate grievance resolution between consumers and participating companies. However, it should not be described as a consumer court that automatically orders a company to issue a full refund.
Consumers seeking formal adjudication of a dispute may need to use the appropriate consumer commission mechanism, depending on the circumstances.
Watch Out for Fake Customer-Care NumbersA refund dispute can also expose consumers to another risk: online customer-care scams.
Fraudsters sometimes publish fake helpline numbers on websites, search results or social media and pretend to represent well-known shopping platforms.
Always access customer support through the retailer's official app or website.
Never share your UPI PIN, card PIN, internet-banking password or OTP with someone claiming that these details are required to process a refund.
A legitimate refund does not require you to reveal your UPI PIN to receive money. Be particularly cautious if someone asks you to install a remote-access application, download an APK file or approve an unfamiliar UPI payment request in the name of receiving a refund.
Act Quickly and Preserve Your EvidenceIf you receive the wrong, damaged or otherwise problematic product from an online order, report the issue as soon as possible.
Keep the original packaging, invoice and shipping labels; take clear photographs; preserve an unboxing video if you made one; and submit the return or replacement request within the applicable window.
If the platform does not resolve the complaint, escalate it through its grievance system and preserve all correspondence. Consumers can also approach the National Consumer Helpline for unresolved consumer grievances and explore the appropriate consumer dispute-resolution mechanism where necessary.
The combination of quick reporting, accurate information and proper documentation can significantly strengthen your case when seeking a legitimate refund or replacement for a problematic online purchase.
